Mia Legal Professional Corporation offers professional and reliable notary services to individuals and businesses across Ontario. Our notary services are designed to assist clients who require official notarization of documents for use within Canada or internationally, while ensuring full compliance with Ontario regulations governing notaries public.
A notary public plays a limited but important role in the authentication of documents. It is essential for clients to understand what notary services include—and what they do not include—so expectations are clear from the outset.
What a Notary Public Can Do
When you attend an appointment for notary services, our role is strictly limited to the following:
• Verifying the identity of the person signing the document
• Witnessing the signing of documents
• Confirming with the signer that the information contained in the document is accurate and complete to the best of their knowledge
• Administering oaths or affirmations, where required
• Applying an official notarial seal and signature
These steps help confirm the authenticity of the signature and the identity of the individual executing the document. Once notarized, the document is considered formally authenticated for its intended purpose.
Important Limitations of Notary Services
Notary publics in Ontario are not permitted to provide legal advice or legal opinions regarding the contents of any document they notarize. As such, Mia Legal Professional Corporation does not review, assess, interpret, or comment on the legal meaning, accuracy, or enforceability of documents presented for notarization.
We do not advise clients on whether a document is appropriate for their situation, whether it meets legal requirements, or whether it will be accepted by a third party, court, government body, or foreign authority.
Clients are solely responsible for ensuring that their documents are correct, complete, and suitable for their intended use before attending a notary appointment.
No Editing or Modifying of Documents
As part of the notarization process, we may ask clients whether they need to make any changes to their document prior to notarization. This is done to ensure clients understand that once a document is notarized, it cannot be altered.
We do not correct, edit, revise, or modify the contents of any document. Any changes must be completed by the client before the document is notarized. Alterations made after notarization may invalidate the document and require re-execution.
No Document Drafting or Legal Advice
Drafting, revising, or providing guidance on documents falls within the scope of work of a paralegal or lawyer, not a notary public.
At Mia Legal Professional Corporation, these roles are kept strictly separate. While the firm may offer other legal services in a different capacity, our notary services page and notary appointments do not involve document drafting, legal advice, or legal opinions of any kind.
When acting as a notary public, the role is limited exclusively to notarization services. This clear distinction ensures compliance with professional obligations and protects clients by avoiding any misunderstanding about the nature of the service being provided.
Common Documents That Require Notarization
Clients often request notary services for documents such as:
• Affidavits and statutory declarations
• Consent letters
• Certified copies of documents
• Travel authorization letters
• Powers of attorney (prepared elsewhere)
• International or immigration-related documents
All documents must be fully completed prior to the appointment. Blank or incomplete documents cannot be notarized.
What to Bring to Your Appointment
To ensure a smooth notarization process, clients should bring:
• Valid government-issued photo identification
• The completed document(s) requiring notarization
• Any additional instructions provided by the receiving organization
If multiple signatories are required, each individual must attend in person with proper identification unless otherwise permitted by law.
Professional, Clear, and Compliant Notary Services
Mia Legal Professional Corporation is committed to providing notary services that are professional, efficient, and fully compliant with Ontario’s legal and ethical requirements. By maintaining clear boundaries between notarization and legal services, we ensure transparency, accuracy, and peace of mind for every client.
If you require notarization services in Ontario and understand the limited scope of a notary public’s role, Mia Legal Professional Corporation is pleased to assist.
